You can invite additional directors to help manage your childcare on HoppingIn. Each person you invite gets their own account and joins your existing childcare — you never have to share a login or re-enter your childcare's details.

Before you start

  • You must be an owner or operator of the childcare (or a HoppingIn admin).
  • You'll need the email address of the person you want to invite.

Roles you can assign

Role Can do Best for
Operator Manage rooms, spots, the roster, and booking requests Assistant directors, office staff
Owner Everything an operator can do, plus invite and manage other directors Owners and co-owners

Note: Owners can invite people as either operators or owners. Operators can invite additional operators, but only owners (and admins) can grant the owner role.

Send an invitation

  1. Go to your Childcare page from the left-hand menu.
  2. Click Invite a Director.
  3. In the window that opens:
    • Enter the person's email address.
    • Choose their role (Operator or Owner).
  4. Click Send invite.

The person will receive an email inviting them to join your childcare. The invitation link is valid for 14 days.

What happens next

When your invitee opens the email and clicks the link:

  • If they're new to HoppingIn, they'll create their account right on the invitation page and be taken straight to your childcare's dashboard.
  • If they already have a HoppingIn account, they'll sign in and accept with one click.

Once they accept, they appear in your childcare's staff list with the role you assigned.

Managing pending invitations

HoppingIn admins can see all outstanding invitations for a childcare on its admin page, under Pending invitations — including who was invited, their role, who sent the invite, and when it expires.

Re-sending or changing an invitation

Need to send the invite again, or realized you picked the wrong role? Simply send a new invitation to the same email address:

  • HoppingIn updates the existing invitation instead of creating a duplicate.
  • The role is updated to your latest choice.
  • The 14-day expiry window resets.

Troubleshooting

"That person is already a director at this childcare." They already have access — check your staff list. No invitation is needed.

The invitation expired. Invitations are valid for 14 days. Just send a new one.

They say the link doesn't work / asks them to sign in as someone else. An invitation can only be accepted by the exact email address it was sent to. If they're signed in to HoppingIn under a different email, they'll need to sign out and open the link again using the invited address. 

Don't see the "Invite a Director" button? It only appears for owners and operators of that childcare. If you believe you should have access, contact the childcare's owner or HoppingIn support.
